The Id Codes With Percents module is used to define the percentage of the expense amounts that should be allocated to a specific building or buildings. Each allocation definition allows you to specify a description, building ID numbers, and the percent allocation. This must be setup before creating the electronic Annual IFARMS Report file.
Create Expense Allocation Definitions
Each row on the Id Codes With Percents screen is an allocation definition. You can create up to 26 different definitions and each definition can split expenses between up to 8 buildings.
- In ABReport, press Id Codes with Percents in the top menu.
- Enter a description for the allocation definition in the Desc field.
- Enter at least one building ID in the ID#1 field. (If expenses are split between multiple buildings, enter up to 8 total building ID numbers.)
- Enter the percent of expenses in the % (Percent) field. The total of the percent fields must equal 100.
- Move to the next row and repeat this process as many time as needed.
A Basic Example
Let's consider a school district that has 3 Elementary Schools, 2 Middle Schools, and 1 High School and how expenses might be allocated. Keep in mind this is an example.
Elementary Allocation Definition
Since we have three elementary schools and we want to split expenses equally between all three, we create an allocation definition called Elementary. Then we entered the building code for each school in the ID#1, ID#2, and ID#3 fields. Finally we entered 33.3% for the first school, 33.3% for the second school, and 33.4% for the third school. In the Account Index Table module we'll enter the Index number (01) to split the expenses equally between the schools.
Secondary School Allocation Definition
Since we have three secondary schools (2 Middle Schools and 1 High School) and we want to split expenses between all three, we create an allocation definition called Secondary. Then we entered the building code for each school in the ID#1, ID#2, and ID#3 fields. Finally we entered 25% for the first middle school, 25% for the second middle school, and 50% for the high school. In the Account Index Table module we'll enter the Index number (02) to split the expenses equally between the schools.
Special Education Program Allocation Definition
For this example, our Special Education Program is split across 2 elementary schools, 2 middle schools, and 1 high school.
In the SpED Allocation definition, we allocate 10% expenses to Elementary 0001, 10% to Elementary 0002, 20% to Middle School 0004, 20% to Middle School 0005, and 40% to High School 0006. In the Account Index Table module we'll enter the Index number (03) to split the Special Education Program expenses between the schools.
