Our Understand Report Format Fields and Line Controls article explains and defines the fields and controls used in report formats.
Open Your Report Format
- In Budget, select Report Formats from the top menu.
- Use the dropdown menu to select the Report Format you want to edit then choose Select to open the Budget Prep.
- Your Report Format will open and you can begin editing.
Add a Line to the Report Format
Every line must have an account number. This includes lines used for headings, lines used for totals, and lines used to add underlines. Accounts must be created with the Accounts module before you can add them to a report format.
- New lines are added below the currently selected line. Select the line directly above where you want to add a new line. (In the screenshot below, a new line will be added below the General Fund line.)
- Select Insert Line to add a new line to your Report Format.
- Enter an account number in the Account column or use the Lookup tool to search for an account.
Edit a Report Format Line
- Select the line you want to edit.
- Select Edit.
- Use the fields at the bottom of the screen to edit the currently select line.
- Select Save Edit to complete your edits.
Delete a Report Format Line
- Select the line you want to remove from the report.
- Select Un/delete.
- The line will update and show *** Deleted ***.
If you have deleted a line but not saved the change, you can undo the deletion by selecting the deleted line and pressing Un/Delete again. This will restore the line to its previous state.
- Select Save All to save your changes.
Update the Report Format Name
One optional, but useful, step is to give your new Report Format a more descriptive name using the Rename function.
- Select Rename from the Report Formats menu.
- Enter a name for your Report in the New Name field. (Use something descriptive!)
- Select Save to rename your Report Format.
