The Retirement module is designed to build transmittal files for the Public Employees Retirement System of Idaho (PERSI) by drawing information directly from your employee and paycheck data.
Retirement Settings
The top-level settings from your Retirement module can be viewed or edited in the Payroll program by going to Options and selecting Retirement. Your organization's employer information is stored here, as is the folder location for any files built through the Retirement module. You can also define your organization's pay cycle and sick leave conversion rate (if you track sick leave in hours).
Navigating the Retirement Screen
Selecting Retirement from left menu or top menu will open the Retirement module. Here you will see a list of employees on the left and the selected employee's retirement information in the center. Every active employee will be listed here unless the employee has the box Exclude from retire checked on their employee record on the Employees screen.
By selecting an employee and then selecting Edit, you can make changes to the employee's retirement status or enter adjustments. (Pay information is drawn from the employee's paycheck history and cannot be edited.)
In the upper section, you can edit the employee's eligibility, employment type, and class of service, as well record the reason for and date of any change. You can report employees on differing pay cycles if necessary by designating them with the Cycle 2 checkbox.
In the lower section, you can add manual adjustments to previous pay cycles. This is typically used to correct past errors.
By selecting Print, you can generate reports of past or current pay cycles to compare or review data before building a transmittal file. The various Range fields can filter specific employee classes, employees by Loc-Pyrl#, and dates.
Building a PERSI File
To create the monthly transmittal file to be submitted to PERSI, select Build Transmittal. From the new window you can if necessary add comments, select "Cycle 2" employees, or edit the pay cycle dates.
Select Build to create an XMT file for transmittal to PERSI. The file will be located in the same folder as your Payroll application file, unless you designate a different location Options > Retirement.
Building an Empower File
To create the monthly transmittal file to be submitted to Empower, first select the pay cycle which you want to report in the fields Curr Cycle Pay Ck Date Beg and End.
Next, select Build 401K Transmittal. Select Build to create a CSV file for transmittal to Empower. The file will be located in the same folder as your Payroll application file, unless you designate a different location Options > Retirement.
Other Features
Selecting Clear Status Codes will allow you to quickly and completely remove all data from the Status Change Reason and Status Change Dates fields for all employees in the Retirement module. This is useful to avoid including ineligible employees from your transmittal.
Selecting Delete Adjustments will remove all adjustments entered for employees within a selected date range. It's recommended that this be done annually to delete adjustments from previous years.
